How to add products to your ecommerce web site

Step by step Instructions on how to add products to your ecommerce web site

Adding items to your ecommerce web site is fast and easy. You dont need to have any computer programming skills and your online store doesnt require any special software for you to add items - you simply use your favorite web browser on a computer with an internet connection. You can easily add images, descriptions and pricing - even music and YouTube videos if your online store has these optional enhancements.

STEP 1.

When you first login to your admin you click the "Products" icon.






















If you are already in your admin click the Categories/Products Link























STEP 2.

Determine which Category you want the product to appear in. A Category is where your items are grouped together to make it easier for shoppers to find and buy your goods. If you dont have any Categories you will need to create one. Instructions on how to create Categories can be found here.

Select the Category you want by left clicking on the yellow folder icon once. This will open the Category. If you have any Sub Categories they will be visible as more yellow folder icons. If want to place your item in a Sub Category, left click on the yellow folder icon once to open it. Because you can have as many Sub Categories as you want, keep on clicking the Sub Category until you arrive at the desired Sub Category. Once you have arrived at the desired Category or Sub Category, you are now ready to add a product.


















Note:
It is very important to place items inside a Category or Sub Category. Whilst you can do this, any products that are placed outside of a Category or Sub Category will not be seen by a visitor. These items will however, be able to found when a visitor uses the search function on your store.

STEP 3.

To Add a product click the "New Product" button at the lower centre of the page.
You can see from the image below that there are no products currently in this Category.















STEP 4.

You will now be presented with a new page where you can create your new item.
This is a single page where you add all the information about your item, including specifying the items name, add images, write descriptions, set pricing and weights plus lots more.  For most businesses this is the only page you will use to create, edit and add your items.

Below is the page you will see.









































STEP 5.

Products Status.





You can set this to in stock or out of stock

Setting to "In stock" allows your online store to display the product and to allow shoppers to purchase it.

Out of stock tells your online store that the item is currently out of stock and depending on how your store functions, do one of the following.
Note: How your store functions depends on how you have asked Your Online Shop to configure your store.
1. Not display the item to shoppers.
2. Display the merchandise to shoppers but not let them purchase the item.
3. Display the item to shoppers and allow them to purchase the item. (buy on back order)


STEP 6.

Date Available.




You can use this to set a date when your item is available for purchase.

Leaving it blank will make your item available now.

Selecting a date allows your online store to do one of the following, depending on how your store functions.
Note: How your store functions depends on how you have asked Your Online Shop to configure your store.
1. Not display the item to shoppers until the specified date.
2. Display the goods to shoppers but not let them purchase the item. A message will be shown advising the date the product will be available to buy.
3. Display the product to shoppers and allow them to purchase the item. (buy as pre-order). A message will be shown advising the date the item will be in stock.


STEP 7.

Sort Order.




You can use this to set the sort order of an item when it is displayed in its Category or Sub Category listing -  as in the image below.








































eg. If you want this item to be on the top, or first on the item list in its Category, enter the value 1. If you want it to appear fifth, enter the value 5.

Leaving it blank will automatically assign the product a value of 0. Any item assigned a 0 sort value will cause it to be displayed before any item that has been assigned the value of 1.

If an item or a group of products have the same sort value, they will be displayed alphabetically within that sort value.

If you want your items listed only alphabetically or by price, leave this field blank as it will default to a value of 0.

If you find that after you have added an item and you later want to change the sort order of that product, or even all of a Categories products, you can do this more easily using the Product Sort Order page in your Admin.

STEP 8.

Name.



This is where you specify the name of your item.
You can use up to 64 characters, however you should limit the length to under 36.
The products name is also used in the hidden Meta Tags that tell Search Engines about the items web page. This particular Meta Tag is essential for good Search Engine Optimisation (SEO) and the products name should include what type of product its is. eg If you are selling Mens SportsT Shirts, include T Shirt in the items name, Mens Sports T Shirt.   eg If you are selling Laptop computers include Laptop Computers in the products name, IBM Thinkpad Laptop Computer.
When choosing a products name, use only standard alphabetical and numerical characters. (ie abcdefghijklmnopqrstuvwxyz 1234567890 ) Capitals are ok and so are spaces, but dont use capitals or uppercase for the entire products name as this can be hard to read. Dont use characters like ' or " or & or ?.  This is because many non standard characters are used by your websites web server to properly render your online store in a visitors web browser.

 

STEP 9.

Manufacturer.



This is where you specify the Products Manufacturer.
You dont need to use this feature if you dont want to display manufacturers on your online store - just leave it as "none".
Manufacturers are selected by using the dropdown menu. You must have created a list of manufacturers before you can assign one to an item.

 

STEP 10.

Model.




This is where you specify the Model number or Code  of your product.
You can use up to 25 characters, however you should limit the length to under 16.
The products model is also used in the hidden Meta Tags that tell Search Engines about the items web page. This particular Meta Tag is essential for good Search Engine Optimisation (SEO).
When choosing a model name, use only standard alphabetical and numerical characters. (ie abcdefghijklmnopqrstuvwxyz 1234567890 ) Capitals are ok, but dont use capitals or uppercase for the entire products name as this can be hard to read. Dont use characters like ' or " or & or ?.  This is because many non standard characters are used by your websites web server to properly render your online store in a visitors web browser.


STEP 11.

Tax Class and Pricing






If you are selling goods via an online store hosted in Australia to Australian and International customers, you must ensure GST is selected in the dropdown menu. This will ensure all your stores prices are shown inclusive of GST. Also this ensures the GST component of the final price will be shown separately on Tax Invoices as is required by the Australian Tax Office.
If your business is not registered for GST it is still a good idea to have GST selected in this dropdown. This is because your online store can be configured to automatically display ex GST pricing now so that later when you are required to include GST in your pricing, you wont have to change each item.
If you want to display all your prices excluding GST but still show the GST component of the final price separately on Tax Invoices, you must ensure GST is selected in the dropdown menu. Your online store can be configured to automatically only display ex GST pricing for your items.
NOTE: Your online store will not add GST to the final price for customers located outside of Australia. Also GST is not included in the price when a shopper selects a foreign currency in the Change Currency dropdown menu. eg US Dollar prices do not include GST.


STEP 12.

Products Weight.




This is where you specify the items weight in Kilograms. If you are not using a weight based shipping option on your online store, you can leave this blank.
Weight measurement is in Kilograms, so if your item weighs 2kg you enter the number 2
More examples:
If you item weighs 250 grams you would enter .25
If you item weighs 100 grams you enter .1
If you item weighs 33 grams you enter .033


 

STEP 13.

Quantity.




Your online store can keep track of stock. If dont want to track stock you can leave this blank.
When an item is sold, the quantity is automatically updated to reflect this sale. When an item quantity reaches 0, your online store can be setup to do one of the following.
1. Not display out of stock items.
2. Display out of stock items but not let them be purchased.
3. Display out of stock items and let them be purchased on backorder.

You can also show shoppers how many of each product you have available for them to purchase.


STEP 14.

Short Description.






This is where you write a short description about your item.  You can use up to 180 characters.
The short descriptions function is to provide a small amount of information about the item that the shopper would find useful.
The short description appears in an item when that product is displayed in a Category listing (see below)
















And as a featured product on the home page or when placed on special (See below).












The short description is also used in the hidden Meta Tags that tell Search Engines about the items web page. STEP 15.

Products Description.




















This is where you write detailed information about your item. The purpose of a detailed description is to provide as much information as possible to help your shopper with their decision to buy this item from you.
You should also consider including search keywords and keyphrases throughout the copy and repeat the products name, model, brand and manufacturer as much as possible.
Try to keep the look, layout and design of the description the same for all items as this projects a more professional image of your business.
You have a Page Design Tool Bar you can use to create great looking product descriptions (See below). Hovering your mouse over an icon tells you what each icon does.




























There a few rules that should be adhered to when creating your description.

Use the Format drop down menu to create all headings (see create headings above).
Use only a single Heading 1 on the page and make sure your products name and item type is included. eg IBM Thinkpad Laptop Computer.
Follow the Heading 1 immediately with a Heading 2. You can use the same information as in the Short Description - make sure you include the products name, model, brand and manufacturer if applicable.
For all Paragraph Headings, or important minor headings, use Heading 3.
For the rest of the text, use the Format Normal in the Format drop down menu. Avoid changing the font, style colour and size. Trying to add too many colours, different fonts and sizes can look distracting and appear unprofessional.
To highlight important words, use the bold icon.

Important: When copying and pasting information from other websites or from MS Word documents, hidden information can sometimes be copied as well. This hidden information can cause your page design to not appear as you would expect.
Before pasting copied data to your description box, paste the copied data into MS Notepad or Apples TextEdit first and format or save the file as plain text. This will remove any hidden data that may cause a problem. You can also use the Remove Formating in the Page Design Toolbar - select the pasted text and click the icon. (hovering this may not remove all formatting.

STEP 16.

Adding the Images.

















Your ecommerce website uses three image files to display images of the item. Why not use a single image? The reason why you use three images and not a single image is to ensure your online shop has high quality images of your items and fast loading web pages. Because shoppers cant physically touch or see your merchandise, it is very important to have high quality images and as many of them as possible. You also need to have fast loading web pages of your goods so shoppers dont have to wait to see their selection. Also Search Engines are now giving prominence in search result pages to websites that load faster, over sites that are slow. For example: Using a single large image to display an item when your online store is displaying images for many products listed in a category, the shoppers web browser must resize each displayed image, which makes the website appear slow. And if you use a single small image to display an item, when a shopper clicks to see an enlarged image, the Shoppers web browser must resize a small image causing it to appear very blurry.


The 3 Images and where they are used
The first and smallest image is the Listing Image. This image appears for the product when a Category listing is viewed (See below).












Or when the product is being featured on the home page or place on special (See below)











The 2nd and middle sized image is used to display the items image on the products information page (See below)
















The 3rd Image is the image that is shown when a shopper clicks on the enlarge button in the products information page.



















What images sizes to use.
The images sizes and format are important to ensure your website pages load quickly and without errors.
Following are the specifications.
File format: jpg, jpeg, gif or png.
Resolution: 72 pixels per inch
Colour: RGB
Sizes:
Small listing image: 120 pixels wide (length can be whatever you like, but try and keep the image no longer that 200 pixels).
Main description image: 180 pixels wide (length can be whatever you like, but try and keep the image no longer that 300 pixels).
Enlarged description image: 300 pixels wide (length can be whatever you like, but try and keep the image no longer that 400 pixels).

How to name Images

All images need to have a unique name. Any image with the same name will be replaced by the new image.
Use the products name for the image name, also include the image size and ensure the file name is correct.
Example.
ibm-thinkpad-laptop-computer-120.jpg
ibm-thinkpad-laptop-computer-180.jpg
ibm-thinkpad-laptop-computer-300.jpg

Dont use spaces, instead use the dash key -. Search Engines can now read image names and consider a dash (-) to be read as a space.
Use only these characters. abcdefghijklmnopqrstuvwxyz 1234567890 _-
Dont use theses characters / or or ' or " or & or ? or  full stops. (Full stops can only be used as a prefix for the file type eg .jpg)
Avoid the use of capitals or uppercase.

How to upload the images.

1. Click on the Browse button.
2. Find the Image you want to use on your computer
3. Click Open

The image is ready to be uploaded.
Note: All images are actually uploaded to the website at the same time during the insert and update process.

How to replace an image from an existing product.
Images can be removed from an item and deleted from the website.
You have 2 choices:
1. To remove an image - this just removes the image from the item, leaving the image on the website.
2. To delete an image - this not only removes the image from the item, it also deletes the image from the website. If you delete an image, any other products that use that image wont be able to.

Check the tick box you want and click the Preview button at the bottom of the page. On the preview page click the Update button.


 

STEP 17.

Adding additional Images.












 

Each product can display upto 6 extra images - all with enlarged views. (See bellow)























Only 2 images sizes are required as follows:
Small listing image: 120 pixels wide (length can be whatever you like, but try and keep the image no longer that 200 pixels).
Enlarged description image: 300 pixels wide (length can be whatever you like, but try and keep the image no longer that 400 pixels).

Specifications are the same as for the items main images.
File format: jpg, jpeg, gif or png.
Resolution: 72 pixels per inch
Colour: RGB

How to upload the images.

1. Click on the Browse button.
2. Find the Image you want to use on your computer
3. Click Open

The image is ready to be uploaded.
Note: All images are actually uploaded to the website at the same time during the insert and update process.

How to replace an image from an existing item.
Images can be removed from a product and deleted from the website.
You have 2 choices:
1. To remove an image - this just removes the image from the item, leaving the image on the website.

Check the tick box you want and click the Preview button at the bottom of the page. On the preview page click the Update button.

 

STEP 18.

Previewing your page. Once you are happy with the page, you click the Preview button located at the lower right side of the page.
This will take you to a page where you can preview the page before uploading it to the store. You can check that the images a correct and get an overview of how you page will look.

Note: If you have not selected any images for the item, a red warning notice stating Warning: No file uploaded. will appear at the top of the page.
If you have selected images the notice will be green and states Success: File upload saved successfully. These notices are just warnings and not errors. You can continue to insert and upload the item to your online store.

If you want to make changes to the page, click the Back button located at the lower left of the page.

If you are happy with the page and:
If this is a new product, click the Insert button located at the lower left of the page.
If you are editing an existing product, click the Update button located at the lower left of the page.

Finished

Your product has been added to your online store. You can return anytime to edit this page.
